Purposes of data processing

Data processing is also carried out using IT systems for the following purposes:

1. to record and confirm your booking of accommodation and ancillary services, and to provide the services requested. As this processing is necessary for the conclusion of the contractual agreement and its subsequent fulfilment, your consent is not required, except where special categories of data, known as sensitive data, are provided. Should you refuse to provide your personal data, we will be unable to confirm your booking or provide the services requested. Data processing will cease upon your departure, although some of your personal data may or must continue to be processed for the purposes and in the manner set out in the following points;

2. to comply with the obligation set out in the ‘Consolidated Law on Public Security’ (Article 109 of Royal Decree No. 773 of 18 June 1931), which requires us to report the personal details of guests staying at our premises to the Police Headquarters for public security purposes, in accordance with the procedures established by the Ministry of the Interior (Decree of 7 January 2013). The provision of data is mandatory and does not require your consent; should you refuse to provide it, we will be unable to accommodate you at our establishment. We do not retain the data collected for this purpose, unless you give your consent to its retention as set out in point 4;

3. to comply with current administrative, accounting and tax obligations. For these purposes, your data is processed without the need to obtain your consent. The data is processed by us and by our data processors, and is disclosed externally only in compliance with legal obligations. Should you refuse to provide the data necessary for the purposes set out above, we will be unable to provide you with the services requested. Data collected for these purposes is retained by us for the period specified by the relevant regulations (10 years, and even longer in the event of tax audits);

4. to speed up check-in procedures should you stay at our establishment again in the future. For this purpose, subject to obtaining your consent (which may be withdrawn at any time), your data will be retained for a maximum period of 5 years and will be used when you are our guest again for the purposes set out in the previous points;

5. to handle messages and telephone calls addressed to you during your stay. Your consent is required for this purpose. You may withdraw your consent at any time. Processing will, in any case, cease upon your departure;

6. For the purposes of protecting people, property and the company’s assets through a video surveillance system covering certain areas of the premises, which are identified by appropriate signs. Your consent is not required for this processing, as it serves our legitimate interest in protecting people and property against possible assaults, theft, robbery, damage and acts of vandalism, as well as for the purposes of fire prevention and health and safety at work. The recorded images are deleted after 24 hours, except on public holidays or when the premises are otherwise closed, and in any event no later than one week. They are not disclosed to third parties, except where we are required to comply with a specific investigative request from the judicial authorities or the police. Furthermore, the aforementioned data may also be processed – but only if you give your express consent – for

7. to send you our promotional messages and updates on our rates and offers. For this purpose, subject to your consent, your data will be retained for a maximum period of 5 years and will not be disclosed to third parties. You may withdraw your consent at any time;

8. Email communications sent by ALBERGO SATURNIA INTERNAZIONALE S.P.A. may contain tracking technologies (tracking pixels) that allow us to detect when a message is opened and to collect statistical information regarding interaction with the communication (for example, the date and time of opening, the device used, and related technical information). This data is processed exclusively with the data subject’s prior consent for the purposes of analyzing the effectiveness of communications, personalizing content, and improving services. Consent may be revoked at any time, without affecting the receipt of communications, through the Preference Center or by using the tools indicated in this policy.

Methods of processing

The Data Controller implements appropriate security measures designed to prevent unauthorised access to, disclosure, alteration or destruction of Personal Data.

Processing is carried out using IT and/or telecommunications tools, in accordance with organisational procedures and logic strictly related to the purposes indicated. In addition to the Data Controller, in some cases, other parties involved in the organisation of this Website (administrative, sales, marketing and legal staff, as well as system administrators) or external parties (such as third-party technical service providers, postal couriers, hosting providers, IT companies and communications agencies) may have access to the Data; where necessary, the Data Controller may also appoint such parties as Data Processors. An up-to-date list of Data Processors may be requested from the Data Controller at any time.

User Rights

We would also like to inform you that the European General Data Protection Regulation (GDPR) grants you certain rights, including the right of access, rectification, erasure, restriction of processing and objection to processing, as well as the right to data portability, where applicable (Articles 15 et seq. of the GDPR).
